Tour Permissions BUSINESS
Permissions offer an alternative way to share access to your tours with specific Kuula users. Unlike regular privacy settings, permissions let you keep a tour private while allowing selected users to view it.
Permissions are available to users with an active Kuula Business subscription.
- Permissions let you share a tour with specific Kuula users.
- The person receiving access must have a Kuula account.
- Access is tied to that specific Kuula account.
- Sharing or forwarding the tour link does not give access to other users.
- Shared tours appear in the recipient's Shared with me section of their dashboard.
- You can add or remove users from a tour's permissions at any time.
- Removing a user from the permissions list removes their access to the tour.
Permissions work independently from the regular tour privacy settings. This means you can keep a tour Private and still share it with selected Kuula users.
Sharing a tour with another user
To manage permissions for a tour, open the tour and click on the Edit Tour link on top of the thumbnail bar. On the Edit Tour screen, fine the Permissions section and click Manage.
To give someone access, enter their username or just paste a link top their Kuula profile and add them to the permissions list. The user must already have a Kuula account.
Please note that display names are not supported in this field - only the actual username will work. Usernames contain no spaces or special characters and can be found on the Profile Settings page.
Once added, the user will be able to open and view the tour while signed in to their Kuula account.
Permissions are assigned to individual Kuula accounts, which is what makes this such a secure way to share your private tours - a user who has access can't pass it on to someone else simply by forwarding the tour link.
"Shared with me" tab
Tours that other Kuula users share with me can be found in the Shared with me section of your dashboard.
You must be signed in to the Kuula account that received the permission in order to access the shared tour.
Removing access
As the tour owner
As the owner of the tour, to remove previously granted access, return to the tour's Permissions section and remove that user from the list by clicking on the trash icon next to their name. They will no longer be able to access the tour, and it will disappear from their Shared with me section.
Keep in mind that permissions require an active Business subscription. If you downgrade to PRO or the free plan, all access you've granted to other users will be revoked, though the list of permissions itself is preserved. Access is automatically restored for everyone on the list as soon as you upgrade back to Business.
As the recipient of a shared tour
If you're on the receiving end, you can also remove yourself from a tour that's been shared with you, at any time. To do this, go to the Shared with me section of your dashboard, tap the context menu (the three dots in the lower right corner of the tour) and select Remove.
Permissions and privacy settings
Permissions and privacy settings serve different purposes. Privacy controls how a tour can normally be accessed, while permissions allow specific Kuula users to access a tour directly through their account.
For example, you can set a tour to Private so that it cannot be accessed through a link, and then use Permissions to share it with selected users. This is useful when you want to share a tour with a client or colleague without making it accessible to anyone who happens to get hold of the link.
